How it works

From shipment documents to an approved worksheet

ClearEntry is a copilot for South African licensed clearing agents. It reads the documents, prepares the customs worksheet and SAD 509 data, and checks duty and VAT. Your declarant stays in charge of every decision.

The steps

  1. 01

    Documents arrive

Upload the shipment's documents to a case, or forward the email to your firm's inbound address. Commercial invoices, packing lists, bills of lading or air waybills, and freight and insurance statements. Mail from senders you haven't approved waits in a quarantine for an admin.

  2. 02

    Every page is read

ClearEntry identifies each document and extracts the fields a worksheet needs: supplier, Incoterm, invoice lines, charges, transport details. Every value links back to the page and the words it came from, with a confidence level, so you can check it in one click.

  3. 03

Code does the maths, not the AI

The customs value is worked out by tested rules: FOB basis, dutiable and non-dutiable charges, the SARS rate of exchange for the date of shipment, the factor across lines, and the VAT value. The AI never calculates a figure.

  4. 04

    Tariff suggestions, with reasons

Each line gets a suggested tariff code and the reason for it, starting from the codes your firm already confirmed for that importer. Nothing is confirmed automatically: a person accepts every code.

  5. 05

    A duty and VAT check

ClearEntry shows the duty and VAT it expects, with the rate's source and effective date. It is a check against your clearing system, not the final figure. Rates it can't read are left for a person.

  6. 06

    A licensed declarant approves

The reviewer sees red and amber items first, fixes or confirms them, and approves. Changes are recorded with who made them and why.

  7. 07

You submit, from your own system

Download the rule 39.05A worksheet (XLSX or PDF), the SAD 509 data (CSV or JSON) and a keying sheet laid out like your clearing system's screens. Your clearing system submits to SARS. ClearEntry never does.

What ClearEntry never does

  • Submit, transmit or file anything to SARS or your clearing system
  • Let the AI calculate customs values, duty or VAT
  • Confirm a tariff code without a person
  • Follow instructions written inside a document

Your data

Each firm's cases are kept apart in the database, and every action is logged. We list the services that process your data on our sub-processors page.
